PEARL Library

Using the PEARL Lending Library is a great way to stretch your allocation. By borrowing materials instead of purchasing them, you can free up funds to take advantage of other opportunities like Community-Based Instructors (CBIs), field trips, and additional learning resources.

Using the PEARL Lending Library

Using the PEARL Lending Library provides access to a wide range of materials. The guidelines below will help you request and manage items effectively.

    • Browse the library catalog
    • Request items through your account
    • Items are shipped directly to your home
    • You will receive confirmation and shipping emails
    • All items must relate to a subject on your student’s SLP
    • Requests are submitted through your library account
    • Availability may vary depending on demand
    • Requests are processed in the order they are received
    • Materials are typically checked out for the school year
    • Materials may be kept for up to two years if they remain listed on the student’s SLP
    • Families must return materials before requesting new items
    • All items must be returned when they are no longer in use or no longer listed on the SLP
  • Each time materials are sent to you, you will receive an email confirming what was shipped. These emails help you track what you should receive and how items are classified.

    Items from purchase orders will be labeled as either non-consumable (NC) or consumable (Cons).

    • Non-consumable (NC) items must be returned
    • Consumable (Cons) items do not need to be returned
    • This classification will be clearly marked in your confirmation email

    Your email will include:

    • Item names
    • Quantity
    • Classification (NC or Cons)
    • Barcode numbers
  • Each time materials are sent to you, you will receive an email confirming what was shipped. These emails help you track what you should receive and how items are classified.

    When items are borrowed from the PEARL Lending Library, you will receive two emails:

    • A “Checkout Receipt” listing all borrowed items
    • A shipment confirmation email when items are sent

    Important notes:

    • The checkout receipt is generated shortly after your order is processed
    • Items may not always be listed in the order they were requested
    • If your list is long, you may need to log into your library account to view all items
    • Open your package within a few days of receiving it
    • Compare the contents to your confirmation email
    • Make sure all items are included and in good condition
    • Contact PEARL within one week of receiving your package if:
      • Items are missing
      • Items are damaged
      • Items do not match your confirmation email
    • After one week, issues with shipments may no longer be able to be resolved
  • Materials are shipped to the physical address we have on file for your family.


    Address on File

    • Most packages are shipped through USPS; larger packages may be shipped with UPS
    • All materials are sent to the address currently on file

    Updating Your Address

    • Any changes to your address must be sent to the registrar
    • Contact Amanda Jones  at ajones@qsd48.org to update your address
    • Address updates should be submitted as soon as possible

    Important Reminders

    • It is your responsibility to keep your address current
    • Delays in updating your address may result in shipping issues

    Responsibility for Misdelivered Packages

    • Materials shipped to an outdated address due to failure to update information will be charged to your account
    • Charges may include:
      • Shipping costs
      • Replacement of materials that are not recovered

Returning Materials

All non-consumable materials borrowed from the PEARL Lending Library must be returned according to the guidelines below. Following these expectations ensures continued access to library materials for your family and others.

  • All materials purchased through the PEARL program are the property of Quilcene School District. Items marked as non-consumable must be returned at the appropriate time or purchased by the family.


    Non-Consumable Materials

    • All non-consumable items must be returned
    • If an item is not returned, it must be purchased by the family
    • PEARL allocation funds cannot be used to cover unreturned items

    Length of Use

    • Items from purchase orders and the lending library are typically used for up to two years
    • At the end of the second year, items must be returned unless additional steps are taken

    Option to Keep Materials Longer

    If you still need an item after two years:

    • You may request to transfer the item to your library (borrowed) list
    • Once transferred, the item is treated as a borrowed library item
    • The two-year borrowing timeline begins again
    • This allows materials to be used for up to four years total

    Important Conditions for Transfers

    • Transferred items count toward your 45-item family limit for the following year
    • Items must be listed on the student’s SLP
    • If your family is already at the 45-item limit, items must be returned
    • If your student is not enrolled the following year, items must be returned

    How to Request a Transfer

    • Email the library at pearllibrary@qsd48.org
    • Requests must be made before the item is due
    • Items will not be automatically transferred
  • Packages under 30 lbs:

    • Must be shipped through an official USPS post office
    • Use Ground Advantage or Media Mail (if eligible)

    Packages 30–50 lbs:

    • May be shipped through USPS or UPS

    Tip: Books and CDs/DVDs qualify for Media Mail, which is often the most affordable option.

  • We will not reimburse for:

    • Packages shipped through other carriers or shipping stores
    • Flat rate boxes
    • Multiple smaller packages when items could have been combined into one box under 40 lbs
    • Extra boxes used simply because they were on hand
    • Packaging materials such as boxes or tape
    • Additional services such as home pick-up or rush shipping
  • Postage reimbursement is available for eligible return shipments, but specific guidelines must be followed.

    Eligible Shipping Methods

    • Packages must be shipped through:
      • An official USPS post office
      • UPS
    • We cannot process reimbursement for:
      • Any other carriers
      • Third-party shipping services or stores

    What Can Be Reimbursed

    • Only the cost of postage will be reimbursed 

    What Is Not Reimbursed

    We do not reimburse for:

    • Boxes or packing materials
    • Added insurance
    • Home pick-up services
    • Overnight or expedited shipping
    • Pre-paid priority envelopes or boxes

    Important: Do not use USPS Priority Mail envelopes or boxes if you plan to request reimbursement. These will not be processed.

  • Following library guidelines ensures continued access to materials and helps keep the system running smoothly for all families.


    Eligibility to Request Materials

    • To request materials from the lending library, all currently borrowed items must be returned according to library guidelines
    • Failure to return materials may result in a temporary hold on your account and prevent new requests

    Due Dates and Exceptions

    • Most materials are checked out for the school year and must be returned when no longer in use or when they are no longer listed on the SLP
    • Laptops, tablets, and musical instruments are exempt from standard due dates
    • These items may be used for the duration of your student’s time in the program
    • They must be returned when your student completes or withdraws from the program
  • All non-consumable materials are expected to be returned in usable condition.


    Responsibility for Materials

    • Any non-consumable item that is lost or not returned must be purchased by the family
    • Items that are written in, colored in, or otherwise used as a consumable will not be accepted for return and must be purchased by the family

    Damaged Items

    • Do not dispose of any non-consumable item, even if it is broken
    • All items must still be returned, even if damaged
    • Items that are not returned will need to be purchased by the family

    Payment Guidelines

    • PEARL allocation funds cannot be used to pay for unreturned or damaged non-consumable items
